Job Description

High Profile is seeking an AIA Billing Coordinator for a contract-to-hire opportunity with our client, a well-established and stable company in downtown Dallas. AIA Billing experience is required for consideration. Candidates without this relevant experience will not be considered.


Key Responsibilities:

  • Set up new projects in compliance with company policies, ensuring accuracy and proper validation.
  • Review client and consultant contracts to maintain project budgets and billing terms.
  • Communicate effectively with Project Managers, Shareholders, and Principals to manage contract documents, change orders, additional services, and billing approvals.
  • Maintain and update project billing folders with relevant documents.
  • Prepare draft and final invoice packages, ensuring all necessary approvals and supporting documentation are included.
  • Identify and resolve unbilled issues to ensure timely and accurate invoicing.
  • Collaborate with the accounts payable coordinator to validate consultant invoices, address budget concerns, and monitor contractual limitations.
  • Recommend process improvements to enhance billing accuracy and efficiency.
  • Work closely with the cash receipts team to reconcile client payment variances.
  • Generate and distribute reports for Project Managers, Billing Manager, Accounting Manager, Controller, and CFO.
  • Manage write-offs and report uncollectible receivables in accordance with company policies.
  • Support management with special project analyses and assist with year-end financial and regulatory audits as needed.

Job Requirements

  • 5+ years billing experience in the construction or architecture industry.
  • AIA billing experience required.
  • Strong mathematical skills with the ability to analyze and verify financial data.
  • Excellent organizational skills with the ability to manage multiple tasks and meet deadlines.
  • Proficiency in MS Office Suite (Excel expertise is a must).
  • Deltek Vantagepoint experience preferred.
  • Flexible and team-oriented mindset to thrive in a high-paced, deadline-driven environment.
  • Must be willing to work on-site in downtown Dallas.

After Robert Half, she started her own tax practice while staying home with her two daughters. The next 9 years she spent in the private sector as a Controller, and realized her love and passion was for recruiting and providing  quality customer service. In 2024, after 3 years of recruiting for reputable staffing agencies, she joined High Profile as a Senior Talent Acquisition Consultant.

Stacey has 25 years of experience in the accounting & recruiting industries. This experience and her active CPA certification give her invaluable resources for both candidates and clients. Outside of work, Stacey loves to spend time with her husband Keith, their 2 grown daughters, their sweet puppy Maggie, and close friends! She enjoys traveling, entertaining, and cooking with her husband!
