Job Description

Our client is hiring a detail-oriented Administrative Assistant to support a senior executive at a well-established financial services firm. This is a high-impact role that blends executive support, communication, and office coordination—all in a fast-paced, professional environment. As the Administrative Assistant, you’ll be responsible for managing executive communications, coordinating schedules and travel, and supporting internal and client-facing initiatives.

Key Responsibilities

  • Draft and edit correspondence, speeches, and newsletter articles on behalf of the executive
  • Manage the executive’s calendar, appointments, and travel arrangements
  • Coordinate quarterly newsletters, including gathering content, editing, and overseeing production
  • Support the preparation of client meetings, conferences, and internal planning events
  • Provide backup office and reception support, assisting with day-to-day operations

 

Job Requirements

  • 3–5 years of experience in an administrative support or communications role; degree preferred
  • Exceptional writing, editing, and proofreading skills
  • Highly organized with strong attention to detail and the ability to multi-task
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint); Constant Contact a plus
  • Professional, proactive, and able to work independently while supporting a broader team
