Administrative Coordinator (Leasing & Real Estate Support)

Job Description

High Profile is partnering with our client, a leading national commercial real-estate owner, to hire a proactive, detail-oriented Administrative Coordinator to support our dynamic leasing team. In this role, you will play a vital part in driving deal success by preparing critical financial analyses, creating high-impact presentations, and coordinating cross-departmental operations across leasing, marketing, development, and property management.If you thrive in a fast-paced environment, possess sharp analytical skills, and have an eye for presentation design, this is an excellent opportunity to grow your career in real estate operations.

Key Responsibilities
Core Priorities
  • Deal Negotiation & Financial Analysis: Develop high-level deal negotiation analyses—including financial summaries, deal comparisons, and lease term evaluations—to support critical decision-making for the leasing team.
  • Presentation Design & Strategy: Prepare and deliver polished, executive-ready PowerPoint presentations on properties, markets, and prospective tenants for internal strategy sessions and external client/owner meetings.

Leasing & Operational Support
  • Lease Committee Support: Oversee the end-to-end preparation, assembly, and execution of assigned lease committee packages in partnership with the administration team to ensure strict accuracy and completeness.
  • Collateral & Site Plan Management: Collaborate with marketing, development, and leasing teams to create and distribute marketing collateral. Update and maintain site plans and lease plans using Adobe Photoshop.
  • Executive & Team Logistics: Manage scheduling, travel arrangements, and meeting logistics for the EVP of Leasing and team members, including conference room setup for high-profile business meetings.
  • Event & Travel Coordination: Assist in planning logistics, travel, and materials for bi-annual ICSC industry meetings.
  • Department Administration: Process invoices, expense reports, and perform other administrative and cross-departmental duties as assigned.

Job Requirements

  • Experience: 1–2+ years of administrative support experience (executive or real estate support environment preferred).
  • Education: Bachelor’s degree (B.S./B.A.) preferred.
  • Technical Proficiency: Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook). Proficiency in Adobe Photoshop (for site plan updates) is required.
  • Analytical & Visual Skills: Strong capability to synthesize data into financial summaries alongside a keen eye for visual presentation formatting.

Jennifer also serves as High Profile’s Vice President of Talent Acquisition. She is actively involved with DallasHR, as well as the American Staffing Association’s Section Policy Council. Jennifer has earned her Professional in Human Resources (PHR), SHRM-CP (Society for Human Resource Management – Certified Professional), and CSP (Certified Staffing Professional) certifications.

Outside of the office, Jennifer enjoys spending time with her amazing daughter and friends, traveling, conquering projects around the house, and keeping up with her 4-legged fur-babies.
