Executive Assistant & Accounts Payable Specialist (Investment Team)

High Profile is partnering with our client, who is adding to their team due to growth.  They are seeking a highly organized, proactive professional to provide executive support to our investment team while managing the firm's accounts payable function. This role is ideal for someone who enjoys balancing high-level administrative support with financial operations in a fast-paced environment.

Key Responsibilities

Executive Assistant
  • Manage complex calendars, meetings, and scheduling 
  • Coordinate domestic and international travel 
  • Prepare presentations, meeting materials, and reports 
  • Process expense reports and corporate card reconciliations 
  • Support team events, special projects, and day-to-day administrative needs 

Accounts Payable
  • Manage full-cycle accounts payable, including invoice processing and payments 
  • Maintain vendor records and resolve payment discrepancies 
  • Process employee expenses and support month-end activities 
  • Monitor recurring payments and maintain accurate records 

Job Requirements

  • 3–7 years of Executive Assistant combined with Accounts Payable Experience or desire to learn this process.
  • Experience supporting senior executives preferred 
  • Financial services, private equity, or professional services experience is a plus 
  • Strong Microsoft Office skills; Concur, Bill.com, NetSuite, or similar systems preferred 
  • Exceptional organizational skills, attention to detail, and professionalism 
  • Ability to handle confidential information with discretion
